# Invoice on terms with credit limits, AR aging and dunning

Selling on terms means the goods leave before the money arrives. Sokisoko checks the account’s credit limit before the order is accepted, issues the invoice with its due date, buckets everything open by how late it is, and sends the reminders so nobody has to make the awkward call.

## What it means in practice

- **The limit is checked first** — Credit is verified before an order is accepted, not discovered afterwards by finance. An account over its limit is held rather than shipped.
- **Aging that reads at a glance** — Open receivables split into current, 1–30, 31–60, 61–90 and 90+ days, with amount due and days overdue per invoice, filterable down to one customer.
- **Reminders that send themselves** — A sweep flips invoices to overdue and sends the reminder on your schedule — by email, SMS or WhatsApp, with the invoice and how to pay attached.
- **Payments reported, then accepted** — A buyer who paid by M-Pesa or bank transfer reports the reference against the invoice; your team accepts or rejects the claim, and the same receipt is never counted twice.

## Bring your current receivables with you

Most ledgers export an aging statement: one row per customer with the balance split by age. Upload that sheet as it comes — the headers are recognised, the customer code is stored so later statements match, and each debtor arrives as an open balance in the right bucket. You start chasing from day one rather than from the first new invoice.

## What happens between order and settlement

1. **Credit is checked** — The account’s limit and exposure are tested as the order is accepted.
2. **The invoice issues** — With its due date, your payment instructions and the terms the account trades on.

## Questions

**Do we need a payment gateway to sell on terms?**

No. Terms, invoices, credit limits and offline settlement are built in and need no gateway at all. Card acceptance through your own merchant account is a separate, optional add-on.

**What happens when a customer is over their credit limit?**

The order is held rather than accepted, so the decision to extend credit is made deliberately by someone who can make it — not by the warehouse.

**How do payment reminders go out?**

A scheduled sweep finds overdue invoices and sends the reminder by email, SMS or WhatsApp, with the amount, the due date and how to pay.

**Can buyers tell us they have paid?**

Yes. The invoice carries a link where the buyer reports an M-Pesa or bank reference. It arrives as a claim your team accepts or rejects, and duplicate receipts are refused.

**Can we import balances from our current system?**

Yes. Upload your ledger’s aging statement and each debtor becomes an open balance in its correct bucket, matched by customer code on later statements.
